Details
Just took over the books for your PTO, booster club or school club and inherited a checkbook, a cash box and a folder of receipts?
This bundle covers the whole treasurer year in three workbooks: year-round books that tie to the bank, an event budget and P&L for the holiday season, and a detailed monthly bank reconciliation with sign-off. Each one does the math and flags problems before they reach your meeting, and the handover checklist makes passing the books on at the end of your term much simpler.
What's included 1 School and Club Treasurer Workbook • School_Club_Treasurer_Workbook.xlsx + EXAMPLE: 13 tabs. Transaction ledger, bank reconciliation, two-counter cash count, fundraiser P&L, reimbursement register, teacher and team allotments, dues and fees, budget vs actual, a one-page treasurer report, 990-N / 990-EZ prep and an audit tie-out • School_Club_Treasurer_Guide.docx: setup, the monthly routine and year end, in plain English • Handover_Checklist.docx: printable checklist for passing the books to the next treasurer
2 Holiday Event Budget and P&L • Holiday_Event_Budget_PL.xlsx + EXAMPLE: 9 tabs. Event budget, purchases and reimbursements, revenue and two-person cash count, group allotments, event summary with net per attendee, and a one-page season summary for the board. Up to 10 events and 20 groups
3 Bank Reconciliation Workbook • Bank_Reconciliation_Workbook.xlsx + EXAMPLE: 9 tabs. Monthly balances, outstanding checks and deposits that carry forward, book adjustments, a reconciliation page with internal control checks and reviewer sign-off, a journal entry proposal and a 12-month summary. Use one workbook per bank account
Does the math. Flags errors. Each workbook tells you what to fix before your meeting or your year-end review: a bank rec that isn't at a $0.00 difference, a cash count with a blank counter or the same person counting twice, an expense with no receipt, a reimbursement someone approved for themselves, a classroom or team over its allotment, budget lines more than 10% off, checks open more than 90 days, and the same person preparing and reviewing the bank rec.
Why three workbooks? The School & Club Treasurer Workbook already has a basic bank reconciliation tab. The Bank Reconciliation Workbook goes further for each account: items that carry forward month to month, fees and payouts turned into journal entries, and a printable page your reviewer signs. The Holiday Event Budget tracks each event on its own, from the budget to the receipts to the cash box, so you can tell the board what each one made or cost.
How it works 1. Open START_HERE.txt, then the EXAMPLE files to see finished examples. 2. Start of the year: enter your group, fiscal year, bank accounts, categories, budget, allotments and dues in the School & Club Treasurer Workbook. 3. Every month: log deposits, checks and transfers, reconcile each bank statement in the Bank Reconciliation Workbook, and print the one-page Treasurer Report. 4. Event season: budget each event, log purchases before you reimburse, have two people count the cash, then print the Season Summary. 5. Year end: final bank recs, the Audit Tie-Out, 990-N / 990-EZ prep with your preparer, and the Handover Checklist. No macros. Sheets are protected with no password, so you can unlock and adjust. Cream cells are yours to fill in.
Works with excel & google sheets Excel: unzip the download, open any.xlsx and start on the Start Here tab (Excel 2016 or later). Google Sheets: open Google Sheets and use File > Import > Upload to open any.xlsx. Google Sheets does not carry over Excel's sheet protection, so formula cells are unlocked there. The.docx guide and checklist open in most document editors.
See it filled in first Each workbook comes with a filled EXAMPLE copy for a fictional parent group, so you can see every tab working before you enter your own numbers. Keep the EXAMPLE files as a reference and work in the blank files.
