A printable monthly report a reviewer can read in one sitting. Enter the organization, the month, and the beginning balance. Type this month's income and expenses by category (rename the cream labels to match yours). The ending balance is beginning plus income minus expenses. Then enter the bank statement ending balance, deposits in transit, and outstanding checks. The difference should be $0.00 before you print it for the board.
- Income and expense lines with this month, monthly budget, and variance
- Ending book balance that calculates from the beginning balance and the month's net
- Bank reconciliation check: statement balance, deposits in transit, and outstanding checks
- A Reconciled or Check entries status when the difference is not zero
- Signature lines for the treasurer and a reviewer, ready to print
Example: why the bank and the books can differ
These numbers are made up so you can see the bank check. They are not from a real church. The label Example is here so no one treats them as live figures.
Example church: Hope Chapel. Example month: March 2026. The books say the month ended at $4,280.00. The bank statement says $4,055.00. That gap is not lost money. Two items had not reached the bank yet.
| Example line | Amount |
|---|---|
| Bank statement ending balance | $4,055.00 |
| Add: deposit in transit (March 31 offering, taken to the bank April 1) | $425.00 |
| Subtract: outstanding check 1184 to the electric company | $200.00 |
| Adjusted bank balance | $4,280.00 |
| Ending balance in the books | $4,280.00 |
| Difference | $0.00 |
Add deposits in transit to the bank statement. Subtract outstanding checks. When the adjusted bank balance matches the books, the difference is $0.00 and the report is ready for a second set of eyes.
