You have $2,400 in checking. Is that a good week or a trap? Rent is due before your next client pays, and you haven't set anything aside for taxes yet. When your pay changes every month, a traditional monthly budget falls apart the moment a payment is late or smaller than expected. The real question is simple: how much can I actually spend right now? This guide shows a simple way to budget for irregular income, walks through an example, and shows how the Variable Income Budget App does the math for you.
The app was made by an accountant with 15+ years in bank reconciliations. It's a real app that opens in your web browser on a computer or phone, not an Excel or Google Sheets template.
Quick answer
To budget for irregular income, start from your checking balance and subtract everything that must be covered before your next deposit: unpaid bills, debt minimums, savings for upcoming costs, tax still to set aside and a buffer. What is left is your safe-to-spend number. Divide it by the days until your next deposit for a daily amount.
Why monthly budgets break with variable income
A monthly budget assumes the same paycheck arrives on the same day. With variable income, the timing and the amount both move. Plan on a good month and a slow month leaves you short. Plan on nothing and you never feel free to spend.
A better approach is to budget from deposit to deposit, and to treat your lowest month as your salary.
The safe-to-spend formula
Here is how the Variable Income Budget App builds its number:
Safe to spend = checking balance
- minus unpaid bills due on or before the next expected deposit
- minus debt minimums
- minus sinking-fund reserves for this stretch
- minus tax still to move this quarter
- minus the buffer you chose
Daily safe is that result divided by the days left until the next deposit.
Example: a freelance designer
A freelance designer has $2,400 in checking and expects the next client payment in 10 days.
| Before the next deposit | Amount |
|---|---|
| Checking balance | $2,400 |
| Less: rent due | −$1,100 |
| Less: phone bill due | −$65 |
| Less: credit card minimum | −$150 |
| Less: car insurance fund for this stretch | −$100 |
| Less: tax still to move this quarter | −$300 |
| Less: buffer | −$200 |
| Safe to spend | $485 |
| Daily safe (÷ 10 days) | $48.50 |
That $2,400 is really $485 you can spend freely, about $48.50 a day. Now "Can I afford this?" takes seconds to answer. Your starting number is only as good as your checking balance, so it helps to reconcile your checking account monthly. If you are lining up a payoff plan next to those debt minimums, the Debt Payoff Spreadsheet shows snowball and avalanche side by side.
You can do this on paper. The app keeps it updated every time you log money in or out, so the number is always current. Get the Variable Income Budget App for $14.99
Use an income floor as your salary
Your income floor is your lowest logged month. Budget as if that is your salary. When a bigger month arrives, the surplus refills your buffer instead of disappearing. Over time, this evens out the highs and lows.
Set aside tax from every payment
If you are self-employed, part of each payment is not yours to spend. The app has a tax set-aside built in, so you can see how much of each payment to move for taxes and track what you have already moved. It starts at 27%. A 25 to 30% set-aside is a common U.S. starting point for self-employment tax plus income tax, and your rate can differ. This is not tax, legal or financial advice.
